Tailor Your Project Authorization with Partner Roles

Key Concept

Project System (PS) is an SAP system offering functionality to control all the aspects of large and small projects. The project work breakdown structure (WBS) can be defined in a flexible way to best suit your requirements. PS is one of the standard SAP ERP Central Component (ECC) modules.

Authorization in an SAP system is based on authorization objects such as transaction codes, company code, and plant. Although the SAP authorization concept can be very complex, sometimes it is not detailed enough. Within the Project System (PS) module you can build additional authorizations based on partner roles.

In an SAP system, a partner role indicates the role a person, department, or external party has in a specific business process. In this article, the partner roles indicate the role a specific user has in a project. Examples of roles can be planner, process engineer, or safety coordinator. You can define the partner roles you require within your project organization.

This makes it possible to authorize employees for specific PS functionality based on the role they have in a project. For example, financial planners can change the planning or budget of only the projects to which they are allocated. However, financial planners can display the financial planning or budget of projects to which they are not allocated.

SAP provides a free add-on in PS to the standard SAP ERP application. The add-on doesn’t belong to the standard SAP functionality, but can be used together with the standard SAP functionality. The support of this add-on, however, is not part of the standard SAP support.  You need to install the add-on yourself. The programs have been approved by SAP, but if you have questions or problems with the functionality, then you need to pay for support.
