Configure Multiple Approval Procedures in Solution Manager 7.1

Learn how to configure two different approval procedures to use as part of the process for requests for change. You can use the same concept to configure as many procedures as needed.

An approval procedure is a new concept introduced by SAP Change Request Management with SAP Solution Manager 7.1 that provides options to build more that one approval procedures to address business needs levels of approval.

The business needs drive the decision about what approval procedure is to be used in which process and how many procedures and steps are required. In general, it is best to keep it simple, while still ensuring the accountability and quality for the change process. Although technically it is possible to have a procedure with four or five steps, it slows down the approval process so much that automation might not make sense.

In this article, I demo two cases based on what my organization configured to handle two business scenarios described below. The first approval procedure, which consists of two dependent steps, is used in at least 90% of the cases. The second procedure — an expedited, single-step approach — is used for fast approval by team leads.

In my organization there are generally two types of changes:

  1. Changes related to introducing new functionality or amending existing functionality, which usually affect a large number of users and are subject to design documents or training.
  2. Changes with no effect on existing functionality, usually master data, such as creating a new vendor or storage location. As this type of request comes regularly, we have them pre-approved as a reference number and the process of approval can be faster, as they are not subject to design documents.
